On February 19, we were guests at the HP Poly spaces for an event dedicated to corporate knowledge management and the role of Generative AI in enhancing this strategic asset. Together with industry experts, we explored tools, best practices, and challenges that companies must address to manage their knowledge effectively.
Here are the four key insights from our event.
1️⃣ Corporate knowledge is a strategic asset, but managing it remains a challenge
Every company possesses a wealth of knowledge, but it is often unstructured and not easily accessible. Valerio Pesenti from the Consorzio Intellimech highlighted that corporate knowledge can be divided into three main categories:
- tacit: experience, insights, and expertise accumulated over time.
- explicit: manuals, documentation, and written procedures.
- codified: structured data in databases and corporate systems.
Organizing and leveraging this knowledge requires precise methodologies and a significant investment of time: this is where Generative AI can make a real difference.

2️⃣ Generative AI can turn corporate knowledge into a competitive advantage
According to McKinsey, 19% of working time is spent searching for information. This inefficiency significantly impacts productivity and response times to customers.
Generative AI can:
- drastically reduce the time spent searching for information;
- enhance collaboration between departments by breaking down information silos;
- boost efficiency and competitiveness by making knowledge instantly accessible.
When knowledge is scattered and hard to find, the cost of completing a task increases significantly. A company that effectively leverages its information assets gains a strategic advantage.
3️⃣ Breaking down information silos: Generative AI as a knowledge enabler
One of the most common issues in companies is the fragmentation of information across different departments. Generative AI can transform dispersed data into actionable insights, making corporate knowledge:
- accessible: thanks to intuitive and conversational search capabilities;
- organized: by bridging gaps between various information systems;
- valuable: by supporting teams in their daily activities.
Giuseppe D’Onofrio, Generative AI BU Manager from Orobix shared concrete examples of AI applications:
- Worker ++ for e-commerce and sales teams: AI helps search product catalogs, retrieve historical offers, and assist in preparing sales presentations. It can also interact with visitors, suggesting products based on their interactions.
- Teki for corporate website and service teams: AI assistant provides field support by quickly retrieving information from technical manuals, datasheets, and repair histories. It can also be integrated into company websites to assist customers.
- SafeGPT for company-wide applications: AI supports text writing and translation, extracts information from documents, and even generates software code, improving security and confidentiality.

4️⃣ A strong technological infrastructure is essential for leveraging AI
To effectively adopt Generative AI, a solid technological infrastructure is crucial. Riccardo Zanella from HP Italy presented HP technologies designed to optimize AI integration in the workplace, including:
- AI-optimized hardware for enhanced performance;
- advanced security solutions to protect corporate data;
- AI-powered collaboration tools to boost productivity.
